The Parents' Association Committee Reports

Minutes of the Meeting held in Pavilion on Sunday 29th January at 7.30pm.

PRESENT: Cheryl Chalk (Chair), Lucy Dexter, Carolyn Gedye, Sue Toffolo (Treasurer), Sara Richardson, Claire Gratton, Carole Brooks, Anne King, Heather Swaby, Martin & Amanda Bishop, Jane Howe, Caroline Watkinson , Sarah Price, and Rebekah Hipkiss (Secretary).

 In Attendance: Anna Bayford (E), Angela Hughes (TH)

1. APOLOGIES FOR ABSENCE: Gwen Norris, Dany Pearce, Natalie Buckingham and Petrina Grint.

2. MINUTES OF MEETING
The minutes of the meeting held on 27 November 2011 had been circulated.

3. MATTERS ARISING

(a) Mistletoe and Lanterns Feedback
Successful as ever, but a couple of pointers for next year. Lanterns should not go outside as they never stay lit, but perhaps on the steps and along the entrance hall of Big School. We need some Mistletoe! The wreaths on the table take up a fair bit of room so it was suggested that Mistletoe could be placed elsewhere in Big School. The acoustics aren’t great for the singers, but it was felt that it was better when they walked around rather than just stood on the stage. The timing of the singing interludes should be more structured so that guests know what is happening.

(b) New Reps
New Reps are needed for Allenby, Albans, Batten and Hailey. Rebekah to email HMs. Angela Hughes will be taking over from Claire Gratton in Edmonstone. Sarah Price is happy to stay on as LS rep but may enlist someone to help.

(c) Induction Day 2010
New term dates will mean that Induction Day is now on Tuesday, 28 August 2012. All reps were able to attend with the exception of Anne King who will be there as a parent but has arranged cover. Rebekah to check with Charles Monk that the structure of the day itself is unchanged. More details nearer the time.

(d) New secretary
Anna Bayford (E) is willing to take over as secretary for two years and will start to shadow Rebekah immediately.

(e) Parent Presentation
Cheryl has been in discussion with Bongo Birley about the possibility of her addressing parents on the subject of her latest project which is internet pornography. It was felt that it would be a great thing to do but only if we could guarantee a large turnout. Attlee Room was mooted as a venue and staff would also be invited to come along. Cheryl to talk to Bongo further and come back to the next meeting.

4. FUTURE EVENTS

(a) Cabaret
This is on Friday, 24 February. Petrina Grint and Jane Howe are liaising with Tana and have organised food and wine. Jane to contact Maria Perez in the box office for table plan.
(b) Tennis vs Queenswood Parents
Will take place on Saturday, 10 March, Claire still needs a couple more men players.
(c) 150 years Celebration Dining Event
Subcommittee of Cheryl, Amanda Bishop, Petrina Grint, Natalie Buckingham and Sarah Price. Event to be held in Big School on Saturday, 6 October 2012 and will be a dining and dancing event for 150 parents. Catering has been informed and entertainment booked. A meeting of the subcommittee will take place on 6 Feb and they will report back to the next HPA meeting.
(d) HYT
Frugal Ball to be held on Saturday, 17 March 2012, not an HPA event but support from Reps in selling tickets would be appreciated. Rebekah to contact Jo Carter to get all details and pass them on to reps.
(e) Leavers' Ball
Rebekah to contact Charlotte Orford to confirm HPA contribution of £3,000 and to offer help of some committee members.

5. AOB

(a) Rebekah has been doing the job of website liaison with Val Proctor. Sarah Price agreed to take this over and going forward each subcommittee will have one person responsible for writing up their event and getting it on the web site.
